HR Administrator at the Property and Street Office

Do you want to work with HR administration in a role where structure, service, and problem-solving are at the center? We are looking for an HR administrator who will be an important part of our HR team at the Property and Street Office. With us, you will have a varied and developing role focusing on working time issues, scheduling, and support for managers and employees.

About the role

As an HR administrator, you will handle the administrative parts of HR processes and proactively support the HR manager, HR consultants, and managers in the organization. You will become our specialist in the HR system Medvind, responsible for working time, payroll, and vacation issues, as well as producing documentation and reports. You will report to the HR manager in the department.

Your main tasks

  • Work independently with various tasks in the personnel system such as employment documentation, reporting, quality control, and follow-up of tasks
  • Support for managers in scheduling and working time issues
  • Handling and archiving of employment documents
  • Training and information on HR administrative processes
  • Record keeping, document management, and release of documents
  • Other administrative tasks within the unit, such as planning anniversaries, farewells, protocol writing, and meeting and coffee bookings, etc.

You will work closely with a team with another HR administrator and have good contact with Malmö City's central HR support. You need to continuously keep yourself updated in the areas of salary, laws, and agreements and be skilled at searching for information to provide accurate and current advice.

Qualifications

We are looking for someone who has:

  • At least a high school diploma (3 years)
  • At least two years of experience in administrative work within HR
  • At least two years of experience with the Working Time Act and its practical application
  • Documented experience in scheduling and vacation management, where you have applied the Working Time Act
  • Experience with HR and payroll systems, preferably Medvind and HRutan/Personec
  • Very good computer skills and knowledge of the Office suite
  • Good ability to express yourself in Swedish, both spoken and written

Meritorious:

  • Post-secondary education in HR, payroll, or public administration.
  • Experience in record keeping and archive management, and you may have worked in systems like Platina.
  • Knowledge of collective agreements, especially General Terms (AB), is valuable.
  • Experience working in public administration

If you also have experience managing standby and event schedules or have worked with the scheduling and staffing system Medvind, that is a big plus.

Personal qualities

We are looking for someone who is structured and meticulous, with the ability to create order and meet deadlines even when the pace is high. You are service-oriented and communicative, which allows you to provide clear information and create good collaborations with managers and employees. You have a problem-solving ability that helps you find solutions when questions arise, and you are flexible and stress-resistant in a day filled with many parallel tasks. Additionally, you are pedagogical, which allows you to explain complex rules and processes in a simple way.
